Help W/ Sharing *outside* My Domain sharing options public private google apps docs

Hello - I asked the below question during the Google Apps class but it seems I need to give more details on what is going on to figure out how to get this to work. Here we go...

I created mydomain.com and registered it with google apps and use it to follow along during the live streaming classes. I am logged in as administer for everything I do. Whenever I create any Google Doc (today I created a coffee presentation), I go to 'Share' --> 'Sharing Settings' --> & click the 'Change' link. Under the visibility options, I can only choose from the following three options:
*MyDomain: People at MyDomain can find and access.
*People at MyDomain who have the link can access.
*Private: Only people explicitly granted permission can access. Sign-in required.

There is no option to share with outside users (no Public option). Ideally, I would like to just email an outside person (ie at an aol address) so they get the email and log in to view my shared document (I assigned them a log in, but they don't check their assigned internal 'MyDomain' google apps email).

Here is what I tried so far as troubleshooting:

1) I went to http://www.google.com/a/cpanel/mydomain.com/ --> 'Service Settings' tab --> 'Sharing Settings' --> I checked the box 'Users can share documents outside MyDomain' & clicked the 'Save Settings' button.
Upon going back to the Share Settings in my document, it did not change the menu options at all.

2) I thought maybe it needs to be 'published' to get the options for outside sharing to be turned on so I opened my presentation document, went to 'Share' & 'Publish/Embed' and clicked the button to publish. It is now published and says "This document is published only within MyDomain." I tried re-opening the published document and the Share Setting menu options 'Change' button and still do not have any added options - No Public Option!

So, I'm not sure what I'm missing here but I do hope someone can follow this and figure out my problem. I really would like the public option... I feel like it should be an easy fix but I'm just not seeing it!

Hi!

Please check you settings on this page:

with the corresponding help article:

I believe you also should log off/log Apps to get this setting working.

Thanks for trying to help. Those instructions don't work for me though because my menu doesn't look the same for some reason.

When I go to the Doc Settings, it should look like this (according to that website):


My Doc Settings however is completely missing the last box that says "Allow users to publish documents on the web...". If it was there, it sounds like it would fix my problem if I checked it. But I can't check it if it isn't there! sad.gif

It goes on to say this: "This setting is not available to Standard Edition administrators. All Standard Edition users have the option to publish docs on the web."

I do have the standard edition but the above explanation doesn't make sense to me. What is the difference between "publishing to the web" (allowed in the standard edition) and "making visible to the world" (only available w/ premier edition)??

If I'm not able to share in the way I thought I could, I find it frustrating that the instructor doesn't seem to know that the options he is constantly checking are not available to standard edition users.

It is correct that Standard edition misses this option and I understand the confusion there so I try to explain how this works.
Sharing and publishing are the different types of action with the document. All Standard edition users can publish their documents but ability to share is determined by the corresponding setting in administrator's panel. Premium/Education editions administrator panel also allows to restrict users to publish their documents. Hence it has the additional setting. I agree that explanation could be easier though.

I tried to change the setting in question with my Standard edition domain and got my old sharing settings gone as well. :-\ I guess there might be a delay while this setting applies to your domain. Otherwise it could be a bug and we should reported it to get it fixed.

This is all pretty confusing.

If a standard edition user cannot email the link to a document to an email outside of 'mydomain.com' is it extremely limiting. What exactly is the point?

I understand that standard can limit the viewing of the document to assigned users and have to log in, but it is *not useful at all* to not be allowed to email the link to someone outside of 'mydomain.com' even when they have their own assigned account. Assigning someone an email address within mydomain.com doesn't mean they will use it.

The only way around I can think of at the moment is:
1) Figure out the link on my own and go into my email and compose the email address there. This will take a lot more time if it works.

2) Convince all users to set up 'forwarding' of user@mydomain.com to their regular email address so I can just send out the link through the sharing tab. But I can't force them to do this can I? Or set up the forwarding for them? This is a lot of work if you have 50 users.

That's a bug in Google Apps Standard - you've probably configured everything right, it just doesn't do anything:

It does not exactly build up my trust in Google Apps, if critical bugs like this are still unresolved after almost a year. sad.gif Like you said, it's a really serious limitation.

So everybody on Google Apps Standard:
Never ever restrict the sharing of docs to your domain!
You won't easily get the global sharing options back!


Does anyone know of a way how to escalate this at Google? The Google support forums seem useless in reaching anybody or moving anything.

I contacted Google's enterprise support regarding this issue and they're trying to help. I will keep you informed in this forum.

So which folders or what changes should i have to make to my files in order to escape errors like HTTP 500 error while retrieving my website.
